Everything you need to get the most out of Smart CRM, in plain language.
Smart CRM uses passwordless login, so there is no password to remember.
The dashboard is a live summary of your customers and calling activity.
The Customers page is the heart of the app.
Everything you need to work a lead is on the customer record.
Schedule specific, timed reminders against a customer.
Tasks are general to-dos that are not tied to a specific customer.
Stay in touch with your team without leaving the app.
These options live under the Admin menu and are available to Admins only.
Teams are how Smart CRM controls who sees what. A Team Manager or Team Lead automatically sees everything assigned to every team they are explicitly put in charge of - no separate permission setup needed.
Every organization starts on the Free plan.
The app works well in any mobile browser and can be installed like an app.
Check your Spam or Junk folder first, and confirm you typed your email correctly. You can request a new code after the countdown on the login screen finishes. Each code is valid for 10 minutes.
The same email address can belong to more than one organization. Pick the one you want to work in. You can log out and choose a different one any time.
For your security, sessions end after a period of inactivity (30 minutes by default). If you use a personal device, tick "Keep me logged in on this device" when you sign in to stay signed in for longer.
Select customers on the Customers page and click Schedule Bulk SMS. Choose an approved template, fill in the details, and pick a time. Messages send automatically and you can track each customer's status - sent, delivered or failed - on the SMS page, where you can also resend or delete.
Your plan includes an SMS allowance. When it runs out, extra credits (a one-time purchase, 1 credit per SMS, never expiring) let you keep sending. Buy them on the SMS page. A long message can need 2 or more SMS parts, and each part uses one credit.
Select customers on the Customers page and click Schedule WhatsApp Message. Choose an approved template for your business type, fill in the details, and pick a time. Messages send automatically and you can track each customer's status - sent, delivered, read or failed - on the WhatsApp page, where you can also resend or delete.
Your plan includes a WhatsApp message allowance. When it runs out, extra credits (a one-time purchase, 1 credit per message, never expiring) let you keep sending. Buy them on the WhatsApp page.
What you see depends on your role. Callers see only customers assigned to them. Team Managers and Team Leads see their own team's customers plus any assigned to them. Admins see everything in the organization.
The Next Follow-up date is a simple date field on the customer record. Scheduled Follow-ups (in the Follow-ups page) are richer: they have a time, a title, notes, a status and an assignee, and one customer can have several.
Only Admins, Team Managers and Team Leads can send messages. Callers can read and receive them.
It opens your device's phone dialer with the number filled in and logs the call in the customer's history. On a computer, this works if you have a calling app installed that handles phone links.
WhatsApp opens with a pre-written message for that customer, using the company details your Admin configured. The click is recorded in the customer's history.
Give a task a daily, weekly or monthly recurrence. When you mark it Completed, the next occurrence is created automatically with its due date moved forward.
Admins can go to Admin, then Import, download the official template, fill it in without changing the header row, and upload it. You can also add customers directly by choosing Create Customer on the Customers page.
Your plan has a cap on customer records and active users. An Admin can upgrade from Admin, then Billing. Until then, you can still work with the records you already have.
Admins can go to Admin, then Organization Profile, and upload a PNG or JPG up to 512KB. It appears across your workspace straight away.

Say your organization has a team called "Mumbai North" with a Caller named Asha, a Team Lead named Raj, and a Team Manager named Priya. In Admin, then Teams, you would set Raj as Team Lead and Priya as Team Manager of Mumbai North. Now Raj sees everything assigned to Asha (and anyone else on Mumbai North), and Priya sees the same. If Priya also manages a second team, "Mumbai South", you would open that team too and set her as its Manager as well - she would then see both teams combined. The Admin always sees the whole organization no matter what.
